AccorHotels Leaves Email, Excel Behind for Project Management Tool

Raffles, Sofitel, Novotel and Pullman, these are just a few of the popular hotel brands owned by the hotel operator??AccorHotels. The French multinational group operates more than 3,700 hotels and employs more than 180,000 people. To better understand the scale of Accor’s operations consider this: they opened 2 hotels every 3 days in 2015!
 
But opening a new hotel can be an epic project that requires collaboration across many departments with strict deadlines. It also requires established communication channels to align everyone. Like most hospitality groups, Accor was using the favorite project management tools of the 90s? — ?Excel and Email. While both of these tool have been game changers and continue to help businesses around the world in important ways, neither of them were designed for project management.
 
Knowing this, Aline Massart, regional digital marketing director of Accor Asia, wanted to find a new tool that would streamline the process of opening hotels. Southeast Asia is a hotbed of activity within the hospitality industry and much of Accor's explosive growth has come from this region.
 
“We wanted to make the process of opening new hotels more efficient," Massart said. "We wanted an online solution where everyone could track progress in real time. We also wanted to consolidate all our documents and make them easy to find.”
 
Taskworld heard about Massart and AccorHotel's problem and reached out to introduce its product. When Massart found out that the Taskworld app offers visual task management, file sharing and team messaging capabilities, she agreed to allow the Taskworld team to run a pilot project. During the pilot, Accor replicated its workflow in Taskworld and found a cleaner and faster way to run its projects.
 
 “We definitely gained efficiency since we started using Taskworld," Massart noted. "It has enabled us to make complex work very seamless. Now everyone can see what needs to be done, how, by whom and by when.”

“Before Taskworld, we used to gather all information via email, update checklists on a spreadsheet and send it to various people who maintained their own Excel files," Massart said. "With Taskworld, the checklist is updated in one click and visible to everyone. Taskworld also reduced the number of emails sent during the opening hotel process, thanks to the chat.”?

When asked about her favorite Taskworld feature, Massart chose Taskworld’s overview dashboard because it "summarized total workspace activity in one single screen."
 
The dashboard allows managers to see a summary of their team’s projects. The overview dashboard also allows mangers to filter through all their projects to get desired information such as to dos, overdue tasks in a project, team member’s workload etc.
